Frequently Asked Questions
Are your courses confirmed? When will we receive the final programme?
All courses listed in the course calendar are confirmed, unless marked as Planned. The trainer will contact participants about 1–2 weeks before the course with the final programme, practical instructions, and the final venue details.
How can I get a VAT exemption? What kind of document is needed?
To qualify for VAT exemption, you need to register as a representative or employee of a school or organization and attach a screenshot/picture of a VAT-number or Erasmus-related OID (Organization ID) during the registration process on the checkout page. If your organization doesn’t have either, you can attach a tax certificate, trade register extract, or similar from your country.
Click here for comprehensive instructions on how to log in (returning customers), apply for VAT exemption, and the available payment methods.
How and when to pay?
After completing your registration, you will receive an invoice by email due in 7 days.
If your grant money hasn’t arrived yet, just email us at courses@euneos.eu and tell us when you expect to be able to pay. We will adjust/agree on a later payment date and keep your place reserved.
Payments are typically made by bank transfer, but credit card payments are also possible. Please make sure to include the order number as the payment reference so we can identify your payment correctly.
If you have already paid but have received a reminder, please send us proof of payment so we can verify it. Please note that payment confirmation may take a few working days to appear in our system after the transfer has been made.
If your organisation needs a specific invoice format, VAT correction, or additional details (such as project/OID number or address changes), please contact us and we will adjust the invoice.
Should we book flights and accommodation immediately after registering?
Yes — once registered, you can start arranging travel and accommodation. However, we strongly recommend booking only flexible flights and accommodation, as we are not responsible for travel/accommodation costs even in cases of schedule changes
I want to book accommodation close to the course venue. Can you send me the address for the venue?
You will find the provisional course venue addresses for Helsinki courses here. The exact venue address is confirmed once the final group size and practical arrangements are known, typically 1–2 weeks before the course. Then the trainer will contact all participants about the final venue address and detailed instructions on how to reach it.
Therefore, we recommend booking accommodation in a central and well-connected area of the city, which allows easy access to the course location once the address is shared.
May I attend only 5 or 6 days in a 7-day course?
You can join a 7-day course but attend only 5/6 days and pay the 5-day/6-day fee (500€/580€). You will need to start the course at the same time as other participants, but you can end it earlier. The catering package fee will remain the same (typically 140€). Your certificate will show the actual days/hours you attended.
Please contact courses@euneos.eu to get a discount code before making the registration.
Can you help us create the Learning Agreement / Europass documents?
We can support the validation of your mobility, but you should prepare the Learning Agreement and Europass documents so that they align with your Erasmus+ project.
We are happy to sign the documents after they have been completed. On the course pages and on Euneos website, you will find the necessary information, such as
- learning outcomes
- activities and tasks (programme)
- course provider and trainer details
to help you complete your documents correctly, You can also ask the AI chatbot on Euneos website to help prepare a learning agreement / Europass draft for a specific course.
We need a signed confirmation letter for our employer / Erasmus paperwork. Can you provide it?
Yes. We can provide a signed confirmation letter for participation when needed. Please download the confirmation letter draft here, fill in all the data, and send it to courses@euneos.eu for the signature.
Will I receive a course certificate?
Yes, we offer course certificates at the end of the course, as long as the participants
have been taking part in the course programme.
Is it possible to make a participant change after the registration has been made?
Yes, it is possible. Please contact courses@euneos.eu, providing the necessary details.
I need the course ID. Where can I find it?
At the moment, the European School Education Platform does not provide course IDs for courses, so there is no separate course ID you can use for Euneos courses right now.
You can:
- Simply use the course title, dates and venue in your Erasmus+ documents / Beneficiary Module, and
- Keep an eye on this page for future updates about course IDs:
https://school-education.ec.europa.eu/en/learn/courses
If your National Agency or school form insists on a “course ID”, they usually accept the course name + provider OID instead. Euneos OID is: E10124150.
Can you provide an invitation letter for visa purposes?
We will write invitation letters only after the full payment. If the participant cannot get a visa and sends evidence about the rejected visa application, we will refund the paid amount. However, 100€ (excl. VAT) will be deducted as an administrative fee.
What is your cancellation and refund policy?
If unable to attend, the registered person may substitute someone else from the same organization or attend the same or another Euneos course, by sending a notification to courses@euneos.eu.
Course cancellations are accepted if conveyed at least 30 days before the starting date of the course. In such cases, Euneos will refund the full fee paid minus 160€ administration cost.
Do you organize tailored courses on demand?
Euneos offers a variety of courses in its course portfolio that can be organized as on-demand courses, providing flexibility in choosing dates, length, and location. The pricing structure is as follows:
- Course Fee: €80 per day + €100 per participant (e.g., €660 for a 7-day course, €500 for a 5-day course).
- Minimum Invoicing: Equivalent to 10 participants, regardless of the actual number of attendees (€6,600 for a 7-day course, €5,000 for a 5-day course).
- Group Discounts: Available based on group size, course length, and location—negotiated separately.
Open Courses for All Participants: All on-demand courses are added to our public course calendar, allowing additional participants from outside the original group to join. This ensures a more diverse and international learning environment, aligning with Erasmus objectives for global exposure during mobilities.
Refund Policy
If your group has fewer than 10 participants, you will be invoiced for the minimum 10. However, if additional participants from outside your group register, you may be eligible for a partial refund—but only for the extra fees you were required to pay beyond your actual group size.
- For every 2 outside participants, we refund the equivalent of 1 course fee (€660 for a 7-day course, €500 for a 5-day course).
- Maximum refund = number of course fees paid beyond your group size × course fee.
Example:
- Your group has 6 participants, but you pay for 10 → you have paid for 4 extra participant spots (€2,640).
- If 10 outside participants join, we refund 10 ÷ 2 = 5 → but the maximum refund is capped at 4 × €660 = €2,640.
Booking in Advance: We recommend registering several months in advance, especially when Minimum Invoicing is applied. This increases the likelihood of additional participants joining the course, which can result in a higher refund for the original booking client.
This policy allows groups of all sizes to benefit from a collaborative and cost-effective learning experience. If you are interested in our on-demand courses or have any questions, please contact Euneos at courses@euneos.eu.
